American College of Obstetricians and Gynecologists (ACOG), a membership organization dedicated to the advancement of women’s health care in Washington, DC, is currently seeking a Program Specialist to provide administrative support to the Senior Director of Practice Activities, Obstetrics, Genetics and Immunization; Director of Obstetrics; Director of Genetics; Manager, Work Groups and Task Forces, and their related documents, committees, task forces and work groups in the Practice Activities Division. To provide secondary coverage for the Division.
- Provide administrative support, including: transcribe, proofread, finalize and distribute correspondence and meeting minutes; maintain subject files and document center files maintain record of budget expenditures and process bills; copy correspondence and documents; coordinate mailings; sign off on financial and contract-related documents.
- Provide telephone and back-up email coverage, respond to inquiries or refer calls as necessary; provide back-up telephone coverage for Division Vice President’s executive assistant; arrange conference calls; share telephone coverage with other support staff as needed; share work load with other support staff as needed.
- Provide assistance for meetings, including: issue meeting notices; maintain meeting roster; coordinate with meetings team to handle hotel and travel arrangements; compile contents, develop cover pages, and create agenda book; assemble and distribute paper and electronic agenda materials; arrange for meeting space, group dinners and catering; arrange audiovisual or other meeting needs; provide support (copying, revision of documents, etc.) during meetings; process travel expenses for committee members; develop preliminary draft of meeting minutes.
- Assist with coordinating document development, including tracking manuscript development, notifying authors of upcoming deadlines, and work with other staff/departments to fulfill document requirements. Update the document database; coordinate reference citation verification for documents; maintain document files. Prepare manuscripts for publication including, reference numbering, manuscript formatting, preparing submission form and memo; and distributing final manuscripts.
- Prepare and distribute documents for committee/workgroup/task force; coordinate committee or Task Force, work group, Clinical Document Review Panel, and Executive Board e-mail manuscript review; maintain lists of current members of each review body; gather and compile review responses. Work with other staff and authors as necessary to resolve revisions.
- Provide administrative support for grants, task forces, work groups and other special projects i.e. Breastfeeding Expert Work Group, OB Presidential Task Forces, and others that may be assigned, including meeting and travel arrangements (see 3 above) and document assistance (see 4 above). Prepare invitation and orientation materials. Prepare materials for mass mailings.

- Coordinate with outside organizations to facilitate document reviews for endorsement or support and improve partnerships.
- Review and update process documents for the department on a regular basis; take on projects to improve efficiency of program-related activities.
- Bachelor’s degree is required
- Minimum of two years of relevant experience is required
- Demonstrated computer literacy, proficient in MS Word for Windows, Excel, PowerPoint, and Outlook and other Office products.
- Demonstrated ability to prioritize and adapt to changing needs and manage time effectively, including working under pressure and managing multiple tasks simultaneously.
- Effective written and verbal communication skills
- Must be organized, and detail and deadline oriented.
- Must be highly motivated, take initiative, and maintain professionalism.
- Capable of using sound judgment in problem solving skills and resolving problems.
- Ability to investigate issues, ask appropriate questions and recommend alternative solutions, as appropriate.
- Must be comfortable working in a collaborative environment
- Ability to travel and work long hours when necessary
